This page provides an overview of OpenClinica Recruit and explains how it integrates with OpenClinica Electronic Data Capture (EDC) to securely transfer participant data and streamline study startup and recruitment workflows.

OpenClinica Recruit is OpenClinica’s clinical trial recruitment solution, designed to help research teams efficiently identify, qualify, and engage appropriate participants for clinical trials and observational studies. When used alongside OpenClinica EDC, Recruit enables participant data captured during recruitment to be transferred into the EDC, helping reduce manual data entry and support a connected, end-to-end research workflow—from participant identification through study conduct and data collection.

Benefits of the Integration

The Recruit–EDC integration provides the following benefits:

  • Reduces manual data entry and associated errors.
  • Streamlines the movement of qualified participants into OpenClinica EDC.
  • Improves efficiency for studies with high recruitment volumes, especially when using bulk transfers.
  • Maintains secure and compliant data flow between systems.

Setup and Responsibilities

Enabling the Recruit–EDC integration requires coordination between OpenClinica and Build Clinical teams.

  • You must contact your Customer Success Manager to request that the integration be enabled and configured.
  • On the OpenClinica EDC side, your primary responsibility is to ensure that an appropriate EDC form exists to receive participant data from Recruit.
  • All other integration setup and configuration activities are managed by Customer Success.

ℹ️ Note: The integration cannot function unless a compatible EDC form is available to receive incoming participant data.

How the Integration Works

Once the integration is enabled:

  • Participant data collected in Recruit can be transferred into OpenClinica EDC.
  • You can transfer participants individually or in bulk, depending on study requirements.
  • Recruitment data captured in Recruit becomes available in EDC for study conduct, monitoring, and data management activities.

This workflow ensures that qualified participants move efficiently from recruitment into the clinical study environment.

Data Handling in OpenClinica EDC

When you design EDC forms, consider how data originating from Recruit should be handled within OpenClinica EDC:

  • You can configure fields to prevent editing (for example, displaying data as non-editable notes).
  • Alternatively, you can allow the data to remain editable within the EDC.

These design decisions allow Data Managers and study teams to control how recruitment data is reviewed, verified, and used during the study.

FAQs

What is OpenClinica Recruit?

OpenClinica Recruit is our powerful participant recruitment platform, designed to help researchers efficiently find and enroll the right participants for their studies. By using sophisticated machine-learning, Recruit targets and qualifies eligible participants online, reducing delays and connecting people with studies that can benefit them.

Whether you’re managing a clinical trial or an observational study, OpenClinica Recruit speeds up and streamlines the process, allowing research teams to focus on what matters most—advancing health and discovery.

I’m a Data Manager — how can Recruit help me?

As a Data Manager, you may not be directly involved in recruitment activities. However, Recruit provides real-time reporting and visibility across enrollment status, participant flow, and engagement metrics.

This visibility helps you and your data management team stay aligned with study timelines and overall progress, enabling informed and timely decisions throughout the study lifecycle.
